The Tiaro Field Day Committee is committed to respecting the privacy of attendees, exhibitors, vendors, volunteers and participants. This Privacy & Media Consent Policy explains how personal information, photographs, video recordings and audio recordings may be collected and used during the Tiaro Field Day.

Photographs, video recordings and audio recordings may be taken throughout the Tiaro Field Day by authorised representatives of the Tiaro Field Day Committee, approved media organisations and approved contractors for promotional, historical and operational purposes.

Prominent signage will be displayed at entry points advising that filming and photography are in progress.

By entering the Tiaro Field Day event grounds, attendees acknowledge and consent to the possibility that they may be photographed, filmed or recorded, including the recording of audio.

Attendees further acknowledge and consent to the use of such digital media by the Tiaro Field Day Committee for legitimate event-related purposes, including but not limited to:

• event promotion;
• advertising and marketing;
• social media content;
• websites;
• printed publications and newsletters;
• media releases;
• sponsorship and funding applications;
• archival and historical records; and
• other communications relating to the Tiaro Field Day and its activities.

The Tiaro Field Day includes participation by children and young people. Parents, guardians and supervising adults are responsible for ensuring they are aware that photography and filming may occur within the event precinct.

The Committee will take reasonable steps to ensure that images of children are used appropriately and in a manner consistent with community expectations.

In addition to photographic and video content, the Committee may collect personal information from exhibitors, vendors, volunteers and participants, including names, contact details, business information, property identification codes (PICs) and other information required for event administration, biosecurity compliance, safety management and communication purposes.

Personal information is collected only for purposes directly related to the administration and operation of the Tiaro Field Day.

Reasonable steps will be taken to protect personal information and digital media from unauthorised access, misuse, loss, modification or disclosure.

Photographs, video recordings and personal information may be stored electronically and/or in hard copy records by the Tiaro Field Day Committee and its authorised service providers.

Personal information will not be sold or disclosed to third parties except:

• where required by law;
• where necessary for event operations, safety, biosecurity or insurance purposes; or
• where consent has otherwise been provided.

Digital media may be published publicly on websites, social media platforms, printed materials and other media channels as outlined in Section 3.

Individuals who do not wish to be photographed or filmed should notify the event Photographers. While reasonable efforts will be made to accommodate such requests, the Committee cannot guarantee that individuals will not appear incidentally in crowd, background or general event footage captured in public areas of the event.

Individuals may request access to personal information held by the Tiaro Field Day Committee and may request correction of inaccurate or incomplete information.
